OVERVIEW

What This Means for You

E-invoicing is not only about the invoices you send. Once your suppliers go live, the invoices you receive will arrive as PINT AE e-invoices through your accredited service provider, not as PDFs by email.

Webtel connects incoming e-invoices to your accounts payable process. Each invoice is received, read and posted to your ERP, matched against purchase orders and goods receipts, and sent for approval, so your AP team works from structured data instead of typing invoices in.

Receiving structured invoices is a major opportunity for AP teams. Instead of reading PDFs and typing in details, the data arrives ready to post. The supplier, amounts, tax and references are already structured, so matching and approval can be largely automated.

During the transition, you will receive a mix of e-invoices from suppliers that are live and traditional invoices from those that are not. We set up a single AP process that handles both, so your team does not have to run two separate workflows.

Approval workflow

Exceptions routed to the right approver.

COMMON CHALLENGES

What Usually Gets in the Way

These are the issues we see most often. Each one is planned for from the start, so it does not surface in the week before go-live.

01

Mixed invoice formats

E-invoices and PDFs arrive side by side during the transition.

02

Matching rules

Two- and three-way matching rules need to be defined.

03

Approval workflows

Exceptions must reach the right approver quickly.

04

Input VAT records

Received invoices must support accurate VAT recovery.

THE UAE MODEL

How UAE E-Invoicing Works

The UAE uses a decentralised, Peppol-based "five-corner" model. Your invoice is created in your own system, validated and delivered by accredited service providers, and its tax data is reported to the Federal Tax Authority (FTA) as part of the same exchange.

Step 1

You create the invoice

In your ERP, accounting or billing system.

Step 2

It is validated

Checked against PINT AE and UAE rules.

Step 3

Your provider sends it

Your accredited service provider (ASP) exchanges it over Peppol.

Step 4

The buyer receives it

Delivered to the buyer's own service provider and system.

Step 5

The FTA is informed

Tax data is reported to the FTA.

HOW IT WORKS

How We Implement It

01

Scope the flow

We document the systems, data and approvals involved in this part of your invoicing.

02

Design the mapping

Fields, rules and exceptions are defined against PINT AE and the UAE data dictionary.

03

Build and test

The connection is built and tested with real invoices, including the edge cases.

04

Run and monitor

After go-live, statuses and exceptions are monitored so nothing is missed.

FAQS

Common Questions

Do we need to do anything about supplier invoices?+

Yes. Once your suppliers go live, their invoices will reach you as e-invoices through your service provider, so your AP process needs to receive them.

What about suppliers who are not live yet?+

Paper and PDF invoices from suppliers who are not yet in scope continue alongside e-invoices, and both are handled in the same AP process.

Can received e-invoices be matched automatically?+

Yes. Because the data is structured, invoices can be matched to purchase orders and goods receipts automatically, with only exceptions needing review.

Do we need a separate system to receive e-invoices?+

No. Received e-invoices come through your accredited service provider and are posted into your existing ERP.

What if a supplier e-invoice is wrong?+

You ask the supplier for a credit or debit note, which also arrives as an e-invoice and is matched to the original.

Can we automate approvals?+

Yes. Invoices that match within agreed tolerances can be approved automatically, with only exceptions reviewed.
